1. Introduction

Mind For Me (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains how we collect, use, store, and – when requested – delete your personal information. It applies to all users of our services (web platform, membership, communication).

By using our services, you agree to the collection and use of information in accordance with this policy.

2. What Information We Collect & Why

We collect various types of personal information from you for the purposes of providing and improving our services, including (but not limited to):

  • Identity and contact details (name, email address, phone number)
  • Profile information (address, home/neighborhood context, type of requests/offers)
  • Transaction information (service requests, Care Coins usage, payment data)
  • Communications (messages with other members, support requests)
  • Usage data (log-in times, device/browser information, IP address, analytics data)

We collect this information so we can:

  • Provide and manage your account;
  • Facilitate matching between members requesting or providing help;
  • Process payments and track Care Coin balances;
  • Communicate with you;
  • Maintain safety, trust, and community standards;
  • Improve and maintain our platform;
  • Comply with legal or regulatory obligations.

3. How We Use and Share Information

We use your data only for the purposes described above or as otherwise permitted by law. We do not sell personal information to third parties.

We may share data with trusted third-party service providers (e.g. payment processors, analytics tools, hosting services) – but only under strict confidentiality agreements and only to the extent necessary for them to provide their services.

If we ever change how we use or share personal information, we will update this policy and notify members as appropriate.

4. Data Security & Data Retention

We take technical and organisational measures to protect your personal information from misuse, unauthorised access, modification, disclosure, loss, or destruction, in compliance with applicable data-protection laws (e.g. under the Privacy Act 1988 (Cth), including Australian Privacy Principle 11 (APP 11) for users in Australia; and where applicable, EU/UK personal-data laws such as General Data Protection Regulation (GDPR)).

We will retain your personal information only as long as necessary for the purposes for which it was collected, or as required by law. Once it is no longer needed – or if you request its deletion – we will take steps to destroy or irreversibly de-identify it (unless legally required to keep certain data).

5. Account Deactivation & Data Deletion (Your Right to Erasure)

You may request deactivation of your Mind For Me account at any time, along with deletion of your personal data.

What happens when you request deletion:

  • We will erase all personal data that identifies you (name, contact details, profile information, transaction history, login information) from our active databases.
  • We will instruct any trusted third-party service providers used on your behalf to delete or anonymise any copies of your personal data, where it is reasonably possible.
  • We may retain anonymised or aggregated data (e.g. non-identifiable usage statistics) for internal reporting or platform improvement – but this data will not contain information that can identify you personally.

Exceptions: Mind For Me may need to retain certain data if legally required to do so (e.g. for financial audit, compliance, resolving disputes, or other regulatory obligations). In such cases, we will retain only what is strictly necessary.

How to Request Deletion:
To request account deactivation and data deletion, follow the procedure outlined in our “How to Delete Account” guide (link: Deactivating & Deleting Accounts). Upon completion, we will send you a confirmation of deletion by email (if you have one on file).

We aim to complete deletion requests without undue delay – typically within 30 calendar days of receiving a valid request, unless legal or compliance requirements prevent immediate erasure.

6. Your Rights

Depending on your jurisdiction, you have certain legal rights in relation to your personal information. These may include:

  • Access: you can request a copy of the personal information we hold about you. (For Australian users — under APP 12.)
  • Correction: you can request correction of inaccurate or incomplete personal information. (Under APP 13.) 
  • Erasure / Deletion: you can request deletion of your personal information and account deactivation via the process described above.
  • Objection / Withdrawal of Consent: you may withdraw any consent you have given for data processing at any time, where consent was the basis for processing (subject to lawful processing requirements).
  • Complaint: if you believe your data has been misused, you may contact us, or — for Australian users — lodge a complaint with the relevant supervisory authority (e.g. the Office of the Australian Information Commissioner — OAIC).

7. International / Cross-Border Considerations

If you are located in the European Economic Area (EEA) or United Kingdom — or if you merely use Our Services from such location — the GDPR (or local equivalent) may apply in addition to other laws.

We commit to respecting the data-subject rights under those laws (including the right to erasure, data access, data portability, objection to processing, consent withdrawal), in line with this policy.

If we transfer your data outside your country (e.g. to third-party service providers or cloud servers), we apply suitable safeguards to ensure adequate protection.

8. Updates to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last Updated” date at the top and – where appropriate – notify users of any material changes by email or via prominent notice on the site.
